Collection Building NYP Follow-up (BNA)

Follow-up on NYP collection building orders should be done on a monthly basis. Each month, search the orders in the file for the previous month, and all of the orders in the "No Due Date" folder.

If you find any priority orders, it's a mistake. Immediately give them to the Special Ordering Technician.

  • Re-search all of the orders in catalogusmai to verify that they are still not duplicates. Record the new Bib and Dup search results on the order along with the date.

  • Re-search each order in Collection Manager. If the title is now available from CM, print the record and place it in the CM tray.

  • Separate out the orders published by Duckworth and set them aside.

  • Re-search each order that is left in Amazon. If the title is now available from Amazon, in 3 days or less , print the record. Write "available per Amazon" on the original BRF and place it in the Amazon tray.
    It is important that you check the availability time. If Amazon shows an item available, but the time is 1 to 2 weeks then it really is not available to purchase.

  • If the book is not found on Amazon, search the order on Barnes and Noble. If the title is now available from Barnes & Noble in our allowable time frame, print out the record, write "available per BN" on the original BRF, and place it in the Barnes & Noble tray.

  • If the item is not available from Barnes and Noble or Amazon, try searching for the item with the publisher. Hopefully by searching a publisher's online catalog you can determine the publication status. If the publisher's website shows that a title was recently published, print out the title information, write "availabale per publisher" on the original BRF and give the order to the High Volume Ordering Technician.
    If you cannot find any information about the title from the publisher's website, please contact them by email, phone, or fax to determine the item's availability. (If you send an email, print out a copy and put it with the order).

  • Duckworth orders: For orders published by Duckworth, see your supervisor for contact information. The most accurate source for Duckworth information is their customer service representative.

  • Keep the orders waiting for responses together in one place. If the publisher has not responded in two weeks, you will need to follow up.

  • If you determine that the order is still not yet published, either with a confirmation from two vendors, a printout of the book on the publisher's webpage, or a direct communication with the publisher, re-file it under the new due date for re-searching later.
