Instructions for Specific Types of Book Orders

BNA Forms:

  • Insure that highlighting has been done and that the correct ISBN's are highlighted.

  • If any of the forms indicate that we should order paperback, write paperback on each side of the form, and circle all information pertinent to the paperback and cross out all information pertinent to the hardback (e.g. price, ISBN).

  • Insure that the catalog record selected for the order matches it (printout should be attached).

  • Those orders that need bibliographic records, should be placed in the tray located on the center student table for exporting. The only records that go to cataloging for exporting are those with records that need to be overlayed. All other orders should be placed in the Simple Editing Without Numbers tray.

Orders requested through Collection Manager:

  • Make sure that the accession number, if applicable, is highlighted.

  • Make sure that the catalog record selected for the order matches it (printout should be attached).

  • Those orders that need bibliographic records, should be placed in the tray located on the center student table for exporting. The only records that go to cataloging for exporting are those with records that need to be overlayed. All other orders should be placed in the Simple Editing Without Numbers tray.

Web Printouts and Gray Forms for North American, In-Print Books:

  • Put them in the Collection Manager searching tray.

Out-of-print orders:

  • Put them in the out-of-print searching tray.

Orders for materials from countries other than the US and Canada:

To find out what country something is published in, look up the place of publication in a geographic dictionary. If you don't have the place of publication, use OCLC to find the correct bibliographic record and look in the 260 field for the place of publication. If uncertain as to where a place is located, be sure to look it up to be absolutely certain.

Foreign Orders, by country:

  • Germany:

    • Harrassowitz Forms: Insure that the catalog record selected for the order matches it (printout should be attached). If the order is for an item with a publisher that distributes in the US (Walter de Gruyter), put the slip in the Collection Manager tray. For those only available in Germany, place the orders in the Complex Editing Tray.

    • Other orders for materials published in Germany: Insure that the catalog record selected for the order matches it (printout should be attached). Write HAR on the orders and place them in the Complex Editing tray

    • If no catalog record was found, orders need to be placed in the tray located on the center student table for exporting.

  • Spain:

    • Puvill Forms: Insure that the catalog record selected for the order matches it (printout should be attached). Put them in the Complex Editing tray.

    • Other orders for materials published in Spain: Insure that the catalog record selectred for the order matches it (printout should be attached). Write PUVSP on the orders and put them in the Complex Editing tray.

    • If no catalog record was found, orders need to be placed in the tray located on the center student table for exporting.

  • Russia, Ukraine, and other former USSR countries:

    • If they have a Russian Press Service number, write RSP on the order. Insure that the catalog record selected for the order matches it (printout should be attached). If there was no catalog record to match, orders need to be placed in the tray located on the center student table for exporting. Otherwise, put them in the Complex Editing tray.

    • If they don't have a Russian Press Service number, put them in the Special Ordering Technician's "Foreign" tray.

  • UK

    • If distributed in the US (Oxford University Press, Cambridge University Press, Berg Publishers, Variorum), put them in the Collection Manager tray.

    • Not distributed in the US: Write BHB on the orders. Insure that the catalog record selected for the order matches it (printout should be attached). If there was no catalog record to match, orders need to be placed in the tray located on the center student table for exporting. Otherwise, put them in the Complex Editing tray.

  • France: Write ADL on the orders. Insure that the catalog record selected for the order matches it (printout should be attached). If there was no catalog record to match, orders need to be placed in the tray located on the center student table for exporting. Otherwise, put them in the Complex Editing tray.

  • Mexico: Write PUVMEX on the orders. Insure that the catalog record selected for the order matches it (printout should be attached). If there was no catalog record to match, orders need to be placed in the tray located on the center student table for exporting. Otherwise, put them in the Complex Editing tray.

  • Portugal: Note PUVPOR on the orders. Insure that the catalog record selected for the order matches it (printout should be attached). If there was no catalog record to match, orders need to be placed in the tray located on the center student table for exporting. Otherwise, put them in the Complex Editing tray.

  • Other foreign countries: Put them in the Special Ordering Technician's "Foreign" tray.
