Types of Funds and Fund Descriptions

Types of Funds

Foundation Endowment Funds are interest-earning accounts. The interest earned is available as spendable income. Library Administration receives reports on the balance of these accounts and their annual spendable income, then passes this report on to Acquisitions. The money is spent from materials, then Acquisitions requests reimbursement from the Foundation (via Library Administration), and when the reimbursement is received, it goes into revenues. In Aleph, Acquisitions periodically transfers revenue money to materials to spend it, but the money actually remains in revenues and is spent from revenues.

 Foundation Spending Funds are accounts that hold donor money to be spent for a specific purpose. Library Administration or the Collection Management Librarian notifies Acquisitions when new donor money is available to spend. The money is spent from materials, then Acquisitions requests reimbursement from the Foundation (via Library Administration), and when the reimbursement is received, it goes into revenues. In Aleph, Acquisitions periodically transfers revenue money to materials to spend it, but the money actually remains in revenues and is spent from revenues.

Transfer Funds are amounts transferred by other university units for specific purposes. All money transferred to us from other university units goes into revenues. The money is spent from materials, and as money is spent, the amount spent is transferred from revenues to materials. However, the money actually isn’t transferred from revenues. We carry over transfer funds from one year to the next until it is all spent. In some instances, we provide monthly reports on all items purchased on transfer funds.



Fund Descriptions

Additional information on these funds, such as MOU’s, may be available in the Acquisition Librarian’s files.

Alfgren (ALF)--This is a spending fund used for the purchase of leisure reading.  When the money runs out it will be gone.

Arnold Fund (ARN)-- This is an endowment fund.  The amount available to spend each year depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Head of Special Collections selects for Arnold.

Bell (BELL)-- This is an endowment fund.  The amount available to spend each year depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Collection Management Librarian selects for Bell.

Burchard (BU)-- This is an endowment fund.  The amount to spend each year depends on the interest earned depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Music Department liaison selects for Burchard. If they are not providing requests, the Media Librarian may be able to help.

Bunting (BUNT)-- This is an endowment fund.  The amount to spend each year depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Head of Special Collections selects for Bunting.

Division of Professional Studies (DPS)— This fund contains money transferred by the Division of Professional Studies. DPS funds are used primarily to purchase cyber security monographs when they are requested by Cyber Security grad students through ILL.  But can be used for other monographs requested by grad students in DPS programs. 

Erickson School (ERIC)— This fund contains money transferred by the Ericson School of Management of Aging Services.

Friends of the Library, Library General (FRND)—This is a spending fund.  It gets $1,000 per year for Award Winning Fiction. The balance is tracked by the Acquisitions Librarian in a spreadsheet. The Collection Management Libarian selects for it.

Friends of the Library, Reference (FRND-REF)-- This is a spending fund. Friends periodically approve purchases for Reference. The amount and selector varies.

Friends of the Library, Special Collections (FRND-SPEC)—This is a spending fund. The Friend periodically approves purchases of specific items for Special Collections. The Head of Special Collections selects, but all orders must be approved by the Library Director.

FRIEND of the Library, DVDs (FRND-DVD)--This is a spending fund. This fund is not currently in use.

Global Studies (GLOB)—This fund contains money transferred by the Global Studies Program.

Graduate School Association (GSA)—This fund contains money transferred by GSA for the purchase of videos.

Intercultural Film (INTFLM)—This fund contains money transferred to us.

Jaquish Fund (JAQ)-- This is an endowment fund.  The amount to spend each year depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Head of Special Collections selects for Jaquish.

Kuhn Fund (Albin O.) (Kuhn)-- This is an endowment fund.  The amount to spend each year depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Head of Special Collections selects for Kuhn.

Leisure Reading (LEIS)-- This is a spending fund. The Administrative Office notifies acquisitions when more money is donated for it.

Mason Fund (MAS)-- This is a spending fund. Mr. Mason periodically donates money for the purchase of Ancient Studies books.

Media & Communication Studies (MEDCOM)—This fund contains money transferred to use by the Department of Media & Communication Studies.

Saltz (SAL)-- This is an endowment fund.  The amount to spend each year depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Collection Management Librarian Selects for Schlenger.

Schlenger (SCHL)--This is an endowment fund.  The amount to spend each year depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Head of Special Collections selects for Burchard.

Student Government Association (SGA) This fund contains money transferred to use by SGA to purchase videos.

Taliaferro Endowment (TAL)--This is an endowment fund.  The amount to spend each year depends on the interest earned. The Administrative Office provides periodic reports on the spendable income. The Ancient Studies liaison selects for Talieferro. All Ancient Studies orders should be placed on Talieferro until it’s expended.

Women and Moscaic Center (WMC)--This fund contains money transferred to us. It's not currently in use.
