Getting Meter Counts from Public and Department Photocopiers

How to Get Meter Readings

1.       Take a clip board, pen and Meter Reading form.  (Use either the Weekly Machine Reading, form or the Monthly Meter Reading, form.  Weekly meter readings are taken from the publicly used machines every week and the monthly reading form includes spaces for the meter readings of the photocopy machines in the departments along with the publicly used machines.)

2.       Go to the Circulation Copy Room where we have photocopiers nos. 2 & 3.   To get the meter reading for all the Sharp photocopier machines look at the machine control panel.  Find the, "copy" button.    Press the button.  The display will show how many copies have been made on the machine.  Record the meter number on the form.    (FYI the display will also show toner usage for the machine.)

3.       It is possible to get the meter reading for the Pharos 1, 2 and 7th floor printers from the web by going to the url https://130.85.192.175/hp/device/this.LCDispatcher?nav=hp.Usage , https://130.85.192.174/hp/device/this.LCDispatcher?nav=hp.Usage , and https://130.85.192.173/hp/device/this.LCDispatcher?nav=hp.Usage .  Check the serial number. Record the copies made on the form.  To get the meter reading manually go to the printer and press the OK button.  Go to INFORMATION by using the arrow key.  Once you get to INFORMATION press OK.  Go to PRINTER USAGE PAGE and again select OK and the information will print out.  Record the meter reading to the Machine Reading form.

4.       The second floor has the Serials photocopiers 2, 4, 5 and 6.  These are all Sharp photocopiers. Press the "copy" button and record the copies made.

5.       The Reader Printers are also on the 2nd floor of the Serials department.  We take meter readings from Ser no. 10 and 12.  These meter readings are taken by opening the bottom right side door of the machine.  To open the door there is a grip along the front middle of the door.  Open the door and you will find two meter counters.   We need the reading on the right side. Record the number.  Disregard the meter on the left. 

6.       The Monday of the last day of the month or the Monday of the first of the month, whichever is closest to the last calendar day of that particular month, the Monthly Machine Reading form is used.  In addition to the public meter readings it is necessary to go to each department and record the number of copies made on the photocopy machines.  As stated above, simply press the copy button on the Sharp photocopy machines to get the meter reading.  The meter reading from the Administration office photocopier is also gotten by pressing the button marked copy.  Record the total copies and the black copies made on the machine.

7.       The completed form is then returned to the Accounting & Receiving department and given to the staff person responsible for recording the information.
