Outreach Emails

The contents of outreach emails will change every semester or when all of the units/departments on the outreach list have been contacted, whichever comes first. See Michelle when it's time for a new template with a new version. The date when you send each version to a unit/department should be recorded in an appropriate column on the outreach spreadsheet. The spreadsheet should provide a URL or URLs where the faculty and staff who should be contacted are listed, but sometimes you'll have toggle through varies categories of people to find them all.

Each email should begin with a greeting, eg. Hello UMBC Music Faculty.

Each email should end with a signature that includes how to contact you.

The below lists provide info on who to contact, and who not to contact. If you encounter a job title not included on the list, ask Michelle.

The following categories of people should be included on outreach materials:

  • faculty

  • part-time faculty

  • lecturers

  • professors

  • deans

  • directors

  • provosts



The following categories of people should not be included on outreach materials:

  • students

  • graduate assistants

  • emeritus faculty

  • administrative staff

  • affiliated faculty
