Checking Spreadsheets

Scan the entire spreadsheet for the following and check these things if found

 

 

Notes

Scan down the notes column and check that any notes have been appropriately handled. If items are link only, ensure that they have an abstract, and if not, the subject keywords have been added.

Citations/Publishers

Look for missing elements. Ensure that the publisher is or isn’t filled in accordance with the citation being filled in or not.

Titles/Languages

Scan the spreadsheet for works in languages other than English and check that they have the appropriate language code.

Description/URL

Make sure that a ULR, not a DOI is filled in and that it’s the main URL for the work

Genres/Types

Scan the genres for non-textual formats and make sure that the type was changed accordingly.

Rights/Rights URI

Ensure that a URI has been filled where it should be and that it’s the correct one.

Abstracts

Check for blank abstract fields and look to see if there are abstracts that should have been filled in.

Dates

Scan for incorrectly formatted or blank dates and ask to correct any that are found.

Extent 

Scan for blank extents and ask to correct any that are found.

Files

Scan the notes for link only items and ensure that they don’t have file names filled in. Make sure link only items have keywords. Check the approximate number of files given in the spreadsheet  by selecting the main file and additional file columns to get a count, then check it against the number of files in the files directory.

Abstracts

Scan the spreadsheet for abstracts where there’s no value in the abstract filled in and check for an abstract or summary that should have been filled in. When checking the work for fully trained people, check every fourth one.

Sponsors

Scan the sponsors and if it’s blank, look for a sponsor that should have been filled in. When checking the work for fully trained people, check every fourth one.

Conferences

Scan the description field for blank values, and check for conferences that should have been filled in.  When checking the work for fully trained people, check every fourth one.

DOIs

Scan for blank URIs and check for a DOI that should have been filled in. When checking the work for fully trained people, check every fourth one.

Line-by-Line Checking

When checking work that was done by a trainee, every detail must be checked on every record in the area where they're being trained until the person is doing the work correctly for a few days. After that, give special attention to things that they might not have encountered before.

When checking work done by someone trained to do the work, spot check, by checking one detail in each record. Don't follow the order given here, but start with something different each time. When spot checking, if you find an error, check the element in items where the error might also have occurred.  If there are 4 error free works in row, you can skip detail checking on the next two lines.

UMBC Authors

Ensure that all UMBC authors are filled in.

Cover Sheets

Check that they are included and correctly filled in. 

Check the transfer of notes to the appropriate column

Check that all notes have been transferred to the appropriate columns.

Titles

Check that titles are filled in and match the title on the work.

Check Authors 

Check that a correct and complete author list is in the author column, and a correct UMBC author list is included in the UMBC author column. If there are authors that should be given in the notes, make sure that they’re added there and not combined with other notes.

Check the Formats, Versions, and Publisher

  • Check that the format is correct and complete

  • Check that the version matches the version of the work that we're adding.

  • Check that the publisher is correct.

Check collections

Check that the faculty or staff collection have been removed if the work was written before the person was at UMBC. This most often happens with older works, but also with faculty who just move to UMBC, so pay particular attention to this in those instances.

Check Supplemental files

Check for supplemental files and ensure that they were added.

Check the Author Details Log for Authors not Found--Check Every Detail

  • Check the collections and additional collections are correct and complete on both the author detail and load spreadsheet

  • Check that ORCIDs are complete and correct on both the author detail and load spreadsheet

  • Check that any labs have been added to the keywords on both the author detail and load spreadsheet
