How do I connect and use the Cisco Room Kit with Zoom, MS Teams or Google Meets?

The Cisco Room Kits work natively with the Webex application but you can also connect to Zoom, MS Teams or Google Meets meetings using the designated application buttons on the Room Kit’s Navigator (controller) or by directly connecting your laptop to the Room Kit using USB and HDMI cables if provided.

You will first want to add the Zoom and Teams add-on to your own UMBC Google Calendar so you can select them in the Calendar drop down when scheduling a meeting.

The Room Kits can also join meetings (Webex, Zoom, Google Meets or Teams) using one-touch operation with no laptop needed but first your meeting room’s Google Calendar will need to be joined to the UMBC’s Google Infrastructure as a Google Resource, for UMBC please follow these steps. You will need to put in an RT Ticket for this.

After your meeting room and Room Kit has been added as a resource you can schedule the room under “add location” in Google Calendar - your meeting will then show up on the Room Kit controller and on main monitor so you can join simply by pressing the green Join button (One Touch Join) when it is time.

Zoom

Joining a Zoom Meeting on a Cisco Room Bar using an invite from an external user that does not have a CRC license - this process works with both the free 40 minute time limit Zoom account and also with a paid Zoom unlimited meeting time account.

On the Cisco Room Kit Navigator:

  • Press the Zoom button on the Navigator

  • Enter the Zoom Meeting Number

  • Enter the Zoom security passcode (provided by host)

You will get a notice on the Room Kit TV screen that the host of this meeting does not have a CRC license. 

Along with this notice you will see a 5 character pairing code and a URL

Go to URL on a laptop or phone web browser that is logged in to your UMBC account.

  • Enter in the Zoom Meeting Number

  • Enter in that new 5 digit pairing code on the TV screen

  • Enter the Zoom security code

  • Press the green connect button (provided by host)

After a brief pause the Room Kit will join the Zoom meeting and you can use all of the features you normally can in a Webex call: camera, frames, mute and share

The Host of the Zoom meeting will get an email stating that the Room Kit has joined their Zoom meeting and a pop-up notification to let you into the Zoom Meeting.


MS Teams

The required Teams Meeting information (Meeting ID and Meeting Passcode) that should be found on your Teams invitation or on your Teams Calendar if enabled. If you don’t have this information at hand you might need to reach out to the Teams Meeting host.

  • Press the “Microsoft Teams” button on the Kit’s Navigator (or controller)

  • Enter the Teams Meeting ID (normally a 12-digit number)

  • Enter the Teams Meeting passcode (case sensitive)

  • Press the green Join button

  • The Room Kit must be admitted to the meeting by the host who will get a pop-up notification on their computer screen, the Room Kit is not actually joined to the Teams Meeting until you are admitted.

  • You have local control over mute and volume

  • You can choose different camera options by pressing the “Selfview” button to select Group, Frames, Speaker tracking or Manual camera operation

  • At this point there is no there is no share or chat buttons

  • Press “End call” when finished


Google Meets - this video conference platform is already integrated into your UMBC Google Calendar

  • Press Google Icon on the Controller

  • Enter 10-character Google Meet ID (XXX-XXXX-XXX)

  • You must be admitted to meeting by host

  • The Room Kit will have the same amount of control as you would have in a Webex Meeting


How to connect to the Room Kit using the cables if provided:

  1. Connect to the Room Kit via HDMI cable.

  2. Connect to the Room Kit via USB to USB-C cable.

  3. The Room Kit will now appear as an option for your audio and video connections within laptop (The Room Kit will appear as “CS-KITMINI”, “Room Kit Mini HD Camera”, or something similar).
