Checking Rights Outline--Training Step 3

  • Is it in scope? If not, cross off.

  • Is it about UMBC or have a UMBC author? If not, cross off.

  • Is it available free?

    • On a Creative Commons license?

    • Open Access? What do they mean by open access?

    • If you can post both the file and link, add to spreadsheet.

  • Is it a U.S. Federal Government document? If so, add to spreadsheet.

  • Is it an item in Arxiv? If the faculty member requested we load, add to spreadsheet. If it’s from a Google Alert, write Arxiv next to it.

  • Is it more than 20 years old? If so, add to spreadsheet with only a link to it if it’s available for free. Don’t include the pdf.

  • Check policies on file.

    • If you don’t find in policies on file, go the next step.

    • If you find it in policies on file, and have the version we need, add to spreadsheet.

    • If you find it in policies on file, and don’t have the version we need, write what version we need.

Do the following steps for journal articles only:

  • If it’s journal article, check Sherpa/Romeo.

    • If you don’t find in Scherpa, go the next step.

    • If you find it in Scherpa, and have the version we need, add to spreadsheet.

    • If you find it in Scherpa, and don’t have the version we need, write what version we need.

  • Check the journal and publisher websites for a policy. 

    • If you don’t find a policy, go the next step.

    • If you find a policy, and have the version we need, add to spreadsheet.

    • If you find a policy and, and don’t have the version we need, write what version we need.

  • If the item is free on the publisher’s website, and you didn’t find any info above, add to spreadsheet with the link only. Do not add a pdf.
