Converting to New Voicemail



The campus phone and voicemail systems are becoming end of support. To resolve this DoIT has begun a project to replace the campus voicemail system with a VoIP (Voice of Internet Protocol) based system. At a high level the project timeline will target staff voicemail migration to occur over the summer of 2019 followed by faculty migration in the fall of 2019. Staff and faculty should expect to work with department IT staff or receive a campus announcement to help identify and coordinate the migration of their voicemail box. 



Users should be aware of the following items while transitioning.

  • Voicemails and settings are not compatible between systems. Users should capture any critical information prior to migrating.

  • By default users will receive new voicemail messages in their email as audio files. Users will no longer call into the new phone system to check messages.

  • Typical users have 2 extensions on their phone. One is the number they share as the best means of being reached and the other is a phantom number. Phantom numbers will not receive new voicemail boxes and will eventually be phased out entirely once a full phone replacement occurs. Only numbers that can be called from off campus and already have active voicemail boxes will receive new voicemail.

  • When your new voicemail box has been setup users will receive an email containing setup instructions a few days prior to the migration. New voicemail boxes are capable of receiving messages and functioning properly with default settings if user is not able to complete initial setup prior to migration. 

  • After migration all new messages will go to the new system but we will keep the old voicemail boxes active for 1 week after migration. During that time users will be able to call in and listen to old messages using the same procedures as pre-migration.
