Minutes from 2-7-08 meeting

  • Library Guidelines are our first priority (they need to be revised and made accessible)

    • Recommend to LEC that library guidelines be made made more accessible

      • LEC must deem which documents are current

    • We would prefer not to duplicate information, but to store the guidelines in one place and either link to that information or pull from it, so that other places (e.g. webpages) have the same, updated content

    • We want it to be easy to access

    • Blogs and wikis were proposed as suitable delivery methods to make the guidelines accessible

      • It is desirable to have information stored ina one place, and then pull that information into other places

        • With blogs or wikis, information is stored in one central location, and entries and changes will be able to be made there, then reflected in other locations

      • It is easy to make changes and pull content from blogs into other areas of a webpage

      • Blogs are easy to format

      • Blogs probably cannot track changes

      • Wikis are easy to edit and are automatically archived

      • Some academic libraries have their policy and procedures documents in wikis

      • Janet will check to see if wiki content can be drawn into webpages

      • The current wiki is in Blackboard and requires a login

        • This would prevent other institutions from being able to see our guidelines, unless given access as a guest, and we want to share with other colleagues and for transparency

        • This could impede easy access to the guidelines, as people would need to sign in

        • It is difficult to set access/security levels in the wiki (e.g. who can edit, who can only be a reader)

      • The idea of using a wiki outside of Blackboard was mentioned

        • Concerns over losing content were voiced

      • The ease-of-use of wikis was questioned – they may be difficult to use

    • It was noted that it would be ideal to have metadata to trace the history/changes of a document and for easy cross-departmental searching on a topic

    • A traditional webpage for the guidelines, instead of Word document links, was also proposed

    • Using Google Documents was also suggested
