Count Statistics Procedure
Daily Truck (Blue)
A truck has a Daily Cataloging Truck” tag; and the“Labeled” line has been initialed and dated.
A. Counting
1. Usually there are two category books on daily truck:
General Collections -- Stacks/Folio; standing orders; replacements.
Reference -- should have green flags and labeled “REF.”
2. Two columns under each category:
Purchased – books without any slips or have purchase order, standing order, replacement slips.
Non-Purchased -- should have gift searching slips, dissertations.
3. Counting titles and volumes for purchased and non purchased books
Count number of titles and volumes separately. (eg., if a title has 2 volumes, count it as 1 Title and 2 Volumes. The v. 2 should has an “Added Volume” slip in the book.
Books with added copy/added volume slips – count as volumes.
4. Counting
Remove the "Daily Cataloging Truck" tag and turn it over.
Make columns for
a) New (purchased General Coll.) – title, volume
b) Gift (non-purchased General Coll.) – title, v.
c) Reference – title, v.
d) Relabel
Count books start with purchase General Coll. (do not pull out any yellow slips from books) then tally them on the back of the "Daily cataloging Truck" tag.
B. Some books need to do further work
Books have Mending slips, Bookplate slips, Book with accompanying cd slips
Do not pull out any slips from those books.
Do not change item status
Place those books on Rock Pile
Place Mending Relabel books on “Circ Returns” truck in BMS.
C. Recording the tally number on Monthly Collection Statistics form
General Collection, Reference books – record tally number on page 1. Additions.
Index books, Government Documents – record on page 5.
Relabeled books -- on p.6, Handling Statistics.
Initial and date the “Counting” line on “Daily Cataloging Truck” tag after finishing counting.
Send the truck to label area for changing item status.
D. Handling slips
Pull out all the slips from the books that are ready to be sent out except rush books (with pink slips) and books are on-hold (with yellow slips).
Separate reusable slips*, file them back to each slip file
*Reusable slips are relabels, added copy/volumes, replacements, standing orders, gift searching slips and pink, yellow, green slips
F. Send books out
Rush books (have pink slips) and on-hold books (have yellow slips) are delivered to Reserves Technician (Pat Garnett) in Circulation (with slips and having the requester’s full name on it).
Reference books, Government Documents are delivered to the shelves at the back of the Reference desk area.
The rest of the books (each side in call number order, with Folio books on the bottom) are sent to Circulation.
Special Collections Truck (Red)
ASM
Count ASM materials separately from the others Special Coll. books. Record the total number of volumes on page 5 Auxiliary Collections, under ASM.
Pull ASM flags and give them to the Special Collections Copy Cataloger. Leave other paperwork, if any, in the book.
Place the books on the table outside of the Special Collections Copy Cataloger’s cubicle.
Special Collections
Count titles and volumes for purchased and non-purchased materials. Record the total number on p.1, Additions, under Special Collections column. Use the same row if a daily truck has already been recorded with the same date.
Remove slips, sort and file them back to each slip files.
Remove item In Process status.
Deliver books to Special Collections.
Rushes and Special Processing Truck (Red Truck)
Count the number of titles and volumes as with the daily truck.
Enter a new row on p. 1, Additions, and enter “R” under “type.” Record the counts under the appropriate columns as with the daily truck.
Deliver both rushes for Reserves and individuals to the Reserves Technician I (Pat Garnett) in Circulation.
Government Documents truck
Count and record on p. 5, Auxiliary Collections.
Deliver to Reference Technician.
CD-ROMs and Cassettes
Do not count.
Place on “The Rock Pile.”
Microfilms
Count as Re-label on p. 6, Handling Statistics
Transfers
• Record the number of titles/volumes being transferred out from Reference or General Collection in p. 3. (WEEDS / SUPERCEDES / TRANSFERS), under the correspondent column. The type should be "TR".
• Record the number of titles/volumes being transferred to General Collection or Reference in p. 1 (ADDITIONS), under the correspondent Non-Purchased column. The type should be "TR".
• In the Handing Statistics page (p. 6) count the number of the volumes that to be relabeled.
Transfer Books from Government Documents to Stacks
Count as Non-Purchased books (p. 1)
Transfer Books from Stacks to Government Documents
Count as withdrawing from stacks (p.4).
In the Handing Statistics page count the number of the volumes that to be relabeled.
