Purchased Titles

Aleph Procedure

1. Go to
I:\BMS\EBSCO purchased.xls
 
2. You will need to flip any titles that do not have a date in the “flipped?” column and say “TRUE” in the PDA Triggered column.
 
3. Search the title in Aleph (I usually search in the OPAC, because it’s easier to find print dupes). If the title is a print dupe, make a note in the “print dupe” column. If you’re in the OPAC, get the system number from the MARC view.
 
4. Pull up the record in Aleph. Under Item Tab 2. (General Information), change the Item Process Status from PA to blank (Not in process). Update the item.
 
5. Put the date in the “flipped?” column.

Note:Titles that are no longer part of the PDA package should be deleted from ALEPH (if another institution has holdings, just delete item and holdings), per TW and LA 7/2/12.

EBSCOhost Collection Manager

To access active PDA titles available for purchase:

My Lists → Active PDA Lists → UMBC PDA

To access list of titles purchased from the PDA profile:

Reports → My Owned Titles

This generates a spreadsheet with all the titles in the PDA profile and that have been purchased individually. To see what titles have been purchased, sort by the Owned column. Those that say TRUE have been purchased either through the PDA or individually. To limit to only those purchased through the PDA, sort by the PDA Triggered column to group all the titles with the status TRUE together. This will give you a list of just the PDA purchased titles.

To search for titles to see if they've been purchased or if they are included in our PDA title list, click on Full Search Options. Limit to eBooks and Accessible (Owned) EBSCOhost Titles. (Note: You MUST select Accessible (Owned), otherwise our PDA and purchased titles will not be included in the results.) You can add other search options as applicable.

The current list of purchased titles will be updated every Tuesday and can be found at I:\BMS\EBSCO purchased.xls

GOBI Orders

Individual titles ordered through GOBI appear in the main Owned Titles report in EBSCOhost Collection Manager with a status of Owned = True, PDA Triggered = False. Jen and I are also emailed with the individual titles.

  1. Use the GOBI loader report at USMAI Reports → Bibliographic Loader → mai01: ybpgobi-bc  to obtain the system numbers of the brief records created through GOBI. There may be a separate ebook report in the future.

  2. Use the title list provided to obtain the OCLC record numbers.

  3. Copy catalog the individual titles using the guidelines at Copy-cataloging individual ebooks.

  4. If there's already a record in Aleph, the loader report will indicate the rejection. You'll need to add the 956 to the existing record.

  5. Our holdings aren't set in OCLC, so you'll need to add the XPT tag to all the records.

  6. Make sure to change the item status from On Order to Not in Process.

Netlibrary Legacy Titles

The legacy Netlibrary books are included in ebooks on EBSCO, and they are also included in the Owned Titles report. As of June 2012, it appears that we have approximately 6077 titles in this collection. This represents everything in the Owned Titles report before 2011, which is when our PDA profile coverage starts.
