Who has to complete a Pre-Approval?

Completing a Pre-Approval is required for travel that is ANY of the following:

  • Overnight
  • Out-of-state
  • International

Only travel that is both in-state and not overnight doesn't require a Pre-Approval.

After Submission

  • When you click Submit for Review, the Pre-Approval is usually sent to the Reviewer to be reviewed. The Reviewer initiates the actual signing process through DocuSign once they have reviewed the document. The Pre-Approval then gets the necessary approvals, moving through the workflow chart shown above, in the DocuSign process.

  • You will still be able to edit a Pre-Approval after it has been submitted up until the first day of travel, however, editing any chart string data, dollar amounts, or travel dates (if using a UMBC contracted travel agency) means the Pre-Approval will have to be re-approved.

  • You will know your Pre-Approval has gotten all necessary approvals when it's status is shown as Ready for Travel.
