Accessing the Admin Chart

Editing the Org Chart

In order to edit the chart, go to the Google Sheet link above. It is important to understand that the arrangement of the chart is based on the positions and the relationship between the positions and not on individuals. That is to say, the Line column and the Reports column are most important.  In order to keep the Org Chart working, supervisors must appear in the spreadsheet before their employees.  The spreadsheet has been color-coded to help keep people in the proper order: if you keep the colored lines in rainbow order at the top of the Google Sheet, the Org Chart will display properly.

The first column, Line, is the line number of the position. There should be no reason to change anything in this column unless a position is added, removed, or changed so substantively that a new line number is needed.

The second field, Person, is the current incumbent of the position.

The third, Position, is the Title of the position.

The fourth, Reports, is the line number of the supervisor of the position in that row. Only the Directors Reports column should be blank. 

The fifth, Line_url, is a link to the job description for that position in Box.

The sixth, Rank, contains information about librarian and staff ranks.

The seventh, Roll, contains information about whether the position is Librarian, Staff, LEC, or Director. These determine the colors on the chart: Director = Blue, LEC = Teal,  Librarian = Orange, Staff = Green.

The eighth, Department, contains what department a position is in. If a position is in multiple departments, those departments should be separated by a comma and a space. Currently, this only works correctly if the position is the head of several departments as with LEC members. The software cannot at this time accommodate a position having multiple supervisors.
