After identifying a usable, matching record on OCLC Connexion, you will export it into Aleph. 

Records are unusable if they are:

  • incomplete (see guidelines for the format you are cataloging) 
  • the language of cataloging is not English (value of "eng" in the 040 $b, or no 040 $b)

Determine a match based on guidelines for the format you are cataloging.

  • For Gifts, use the Gifts Copy Cataloging Procedure and the Book copycat guidelines.

Before exporting for the first time, check your export settings in OCLC Connexion.

  • On the toolbar Tools-Options, then the tab for Export. 
  • You should have a Gateway Export Destination for alephprod.  If you do not, see the Catalog Librarian. 

Before exporting a record, search by OCLC number in Aleph to make sure the record is not already in Aleph.

  • In Connexion, with your cursor anywhere in the OCLC record, right click, select Copy Control Number. 
  • In the Aleph Cataloging Module, Search tab, Find search, Multi-field Search, enter the OCLC number into the box marked Utility number (035). 
  • Precede the OCLC number with "ocm" if it is 8 digits, by "ocn" if it is 9 digits. 
  • If the OCLC number is fewer than 8 digits, precede with "ocm" and add, between "ocm" and the control number, as many zeros as needed to make 8 digits total.

If the record is not in Aleph, go back to OCLC and export it (export button on toolbar or F5).

  • A window will open that reports the Export Status. 
  • After the message "End handling input record" appears, you can hit the Close button. 

Return to Aleph Cataloging Module. 

  • Repeat the OCLC number search in Aleph as above. There is normally a small lag time of a couple minutes at most between export and the record being retrievable in Aleph.
  • When the search retrieves the record, hit the Show button. 
  • In the Show window, hit the Cataloging button.

Proceed with cataloging in Aleph using the guidelines for the format you are cataloging.
