From Jodi: Student Support Services has asked if we can provide some means to house/access available and created transcripts for video materials that do not have sub-titles or closed captions.  We have agreed to do so for materials in our collection.  The transcripts will come to us in one of two ways 1) I will request it directly from the vendor or 2) SSS will create a transcript and will then send us the PDF.

Since we have already encountered vendors who have concerns about the transcripts being available to the entire campus (why?!? who knows?).  We have decided to use UCORES to manage the process since we can then make use of the additional password protection.  We would also like to link from the catalog record or at least mention that the transcript is available. 

 

General process:

  • Requests for transcripts will come through SSS or Media.  Media and SSS will be in close communication regarding the requests.  If we own the video, Media can request a transcript from a vendor.  All other requests will be referred to SSS.
  • If SSS creates a transcript for a video in our collection, they should send a PDF copy to Media.  
  • Media will verify that we have the video and will send the PDF file to Circ, specifically the E-Reserves Coordinator (Kathleen).
  • E-Reserves Coordinator adds the file to the "Student Support Services" class and sends the link to Cataloging (Tiffany/April)
  • Cataloging performs item and bib work.
  • Cataloging lets Media/SSS know that transcript is available.
  • Students/faculty get the password through SSS in order to download or print.
  • No labels
