These guidelines cover both CD- and DVD-ROMs; any differences in treatment will be noted.

  • Personal or corporate author → This information can be taken from the 100 or 700 fields.

  • Edition
    • 250 → Verify that this information doesn't conflict with any statement on the item.
    • 538 → Verify that this information (i.e. Windows only, Mac and Windows compatible) doesn't contradict with the information on the item. If you're unsure, consult the e-resources cataloger.

  • Publisher
    • 260 → One publisher on the item needs to match one publisher on the record.
  • Summary → This doesn't have to match, but you can use this information to verify a match if needed.

Edits

    • 006

      This field is used to code the characteristics of accompanying material.

      In Aleph,add a blank 006 field and open the form (Ctrl F).

      In Connexion, under the Edit menu, choose Guided Entry -->Insert 006 and select the appropriate format.

  • 020 → Add the ISBN on the item if it is missing from the record.
  • 538 → Transcribe any system requirements on the item that are missing from the record. You can add the information to an existing 538 field or just create a new one.
  • 516 → may be present, no need to add or delete

Items and Holdings

  1. Add XPT $aY $bMUB to bib record.
  2. Add item to ALEPH record.
    • Push to Items.
    • Go to tab 2. General Information (1).

      Sublibrary: BC-BC
      Collection: MDESK
      Material Type:
      *CD ROM
      *DVDRM
      Item Status: 01 (General collection
      Barcode: Wand in (This will automatically update the record.)

  3. Add holdings to ALEPH record.
    • Click to tab 6. HOL Links
    • Click “Create New” if necessary.
    • Highlighting the BC-BC HOL, click “Edit.”
    • Edit the Call number in the 852:
      • First indicator should be “8”.
      • UMROM number goes in subfield “h”.
    • Add OWN field with “BCHOL” in subfield “a”. (The macro for this is alt+O.)

     

Labeling

Put the call number label, the barcode and the UMBC sticker on the container.
