Collection Manager Checks

  1. *Insure that the information in the selected CM record matches the order.*If there are descrepencies, search Amazon.com and Barnes & Noble.com until you find a match. If you find a better match, print and attach that record to the front of the order, and put the order in the box for completed searching of that type. If you don't find a better match, write "Best Match" on the CM printout, and continue with this procedure.
  2. Search numbered series appearing in the CM record that have not already been searched using the Series Searching Procedure.
  3. Search Possible Added volumes if new information appearing in the CM record leads you to think it might be an added volume. Use the Possible Added Volume Procedure.
  4. Look for a box with an up arrow, or the words "Not Yet Published". If you find either of those values, the item is not yet published:
    • Put collection Building orders in the NYP tray.
    • Put priority orders in the Special Ordering Technician's in-box.
  5. Check:
    • For a box with an X in it. If it appears, detail information should be attach. Check it for the statement "Not New." AND
    • Check the publication date for a 2nd date in brackets after the first.

If either thing appears, the book is a reprint. Follow the Reprint Procedure.

  1. Check for an of these special statuses in the selected CM record. If any of the following special status appear there, process accordingly:
    • Never Published--Attach a "publication cancelled/abandoned" slip to the order and put it in the Vendor Notices/Department Reports mailing slot.
    • Never Published Cloth--Search CM, Amazon, and Barnes & Noble until you find the published edition. Print and attach that record to the front of the order, and put the order in the box for completed searching of that type.
    • Not Yet Published--If it's a priority order, give the slip to the Special Ordering Technician. Otherwise, put the order in the NYP Tray.
    • Out-of-Print--If it's a priority order, give the slip to the Special Ordering Technician. Otherwise, put the order in the OP Tray.
    • Out-of-Stock--Order anyhow.
    • Out-of-Print Edition--If an alternate edition is listed as available on that CM printout, highlight it so that we'll be getting the in-print edition, regardless of which edition indicated on the order. If not, search CM, Amazon.com, and Barnes & Noble.com until you find the in print edition. Search Amazon, BIP, and Barnes & Noble until you find the published edition. Print and attach that record to the front of the order, and put the order in the box for completed searching of that type.
  2. *Check if it's a North America or U.K. record.*If it's a U.K. record, check the publisher to see if it's one that distributes in the U.S. (Oxford University Press, Cambridge University Press, Berg Publishers, Variorum) If it distributes in the U.S., then cross off the U.K. and write on the order: Bc-B9. If the publisher is not one that distributes in the U.S., circle the BHB and write BHB on the printout.
  3. Check for a box with an F in it.. If there's a box with an F in it, the accession number must be highlighted.
  4. *Confirm that paperback or hardback information has been selected and highlighted appropriately based on the order.*We order paperback if there is an explicit statement in the order that we should order paperback, if the price given on the order is the paperback price, or if the ISBN given on the order is for the paperback.
  5. Those orders without a matching catalog record, go to cataloging for exporting. All other orders go in the Simple Editing Without Numbers tray.

CM Zeros

  1. If the searching was done by a new student, re-do a selection of searching to insure that it was done correctly.
  2. Put them in the Amazon searching tray.
