- Use Microsoft Access to open the Foundation Fund Database at: I:\ACQ\AcqStatistics/FoundationAccounts.mdb
- Click on “Main Interface.” If you don’t see “Main Interface,” use the drop-down at the top of the left panel to change to “Forms,” which is where the Main Interface is located.
- Click “Calculate Foundation Balances.”
- Report opens. Right click on it and select print.
- the Foundation Fund Spreadsheet for the current fiscal year, in Box Acq Stuff, to find the Free Funds in each foundation fund. For each budget:
- Use the money cup to locate the budgets in the Aleph Acquisitions/Serials module
- Click on Budget Info if you're not already on it
- Ensure that only the “annual budget” box is checked.
- Enter the amount of money available in both boxes.
- Click update
If new money is transferred later in the year, follow these same steps, but add the amount of new money available to the amounts in the boxes.
Note: if endowments run out of money, up to half of the next fiscal year’s money can be spent by adding the appropriate amount to the value already in the boxes. This is often necessary for big ticket special collections purchases, but can be done for any of the endowments.
