Pre-Approvals should be submitted within 24 hours of any travel related quotes and in time for it to be processed before the first day of travel.

A Pre-Approval is a document that is required to be completed before UMBC related travel by a traveler or an individual on behalf of a traveler. It is necessary to have pre-approval to ensure proper reimbursement and that the traveler will be covered by Worker's Compensation Benefits.

A Pre-Approval is a document that is required to be completed before UMBC related travel by

Completing a Pre-Approval is required for travel that

is

involves ANY of the following:

Overnight
    • Travel involves an overnight stay

    • Out-of-state travel 

    • International travel

Only travel that is both in-state and not overnight

  • When you

click Submit
  • click <Submit for Review button>,

 the
  • the Pre-Approval is usually sent to the Reviewer to be reviewed. The Reviewer initiates the actual signing process through DocuSign once they have reviewed the document. The Pre-Approval then gets the necessary approvals

  • You will still be able to edit a Pre-Approval after it has been submitted up until midnight the

first

of travel, however,
  • before travel begins. Please note that editing any chart string data, dollar amounts, or travel dates (if using a UMBC contracted travel agency) means the Pre-Approval will have to be re-approved.

You will know your Pre-Approval has gotten all necessary approvals when it's status is shown as Ready for Travel

  • The status of the Pre-Approval will be changed to Ready for Travel after all approvals have been received.
