Submitting a Pre-Approval is the first step in the UMBC travel process.

Warning

Pre-Approvals should be submitted within 24 hours of any travel related quotes and in time for it to be processed before the first day of travel.

A Pre-Approval is a document that is required to be completed before UMBC related travel by a traveler or an individual on behalf of a traveler. It is necessary to have pre-approval to ensure proper reimbursement and that the traveler will be covered by Worker's Compensation Benefits.

Completing a Pre-Approval is required for travel that is ANY of the following:

  • Overnight
  • Out-of-state
  • International

Only travel that is both in-state and not overnight doesn't require a Pre-Approval.

  • When you click <Submit for Review button> , the Pre-Approval is usually sent to the Reviewer to be reviewed. The Reviewer initiates the actual signing process through DocuSign once they have reviewed the document. The Pre-Approval then gets the necessary approvals through the DocuSign signing process.

  • You will still be able to edit a Pre-Approval after it has been submitted up until the first day of travel, however, editing any chart string data, dollar amounts, or travel dates (if using a UMBC contracted travel agency) means the Pre-Approval will have to be re-approved. A Pre-Approval becomes unavailable on the first day of travel.

  • You will know your Pre-Approval has gotten all necessary approvals when it's status is shown as Ready for Travel.

  • Reimbursement Requests should not be submitted until after the last day of travel.
