Installing and Configuring Zotero

  1. Go to https://www.zotero.org and install Zotero and the Zotero Connector for the browser you use

  2. When prompted, set up a free Zotero account

  3. In Zotero, go to the  edit menu then preferences. Select the citation tab, and choose Chicago Manual of Style, 17th edition, full note.

Collect Works in Zotero

  1. Delete any works in Zotero from sets that have been already exported for loading.

  2. Determine if we can add an item using the usual procedure.

  3. Works will be loaded into one collection, such as the Faculty Collection, or the department of the faculty member whose works we’re adding, so all works added via load must have all go into that collection. Other items will go on a spreadsheet to be added manually. Michelle will let everyone know what collections we’re preparing to load into, and let everyone know when that changes.

  4. Use the publisher’s record to add to Zotero. If unpublished, use the record where the work appears. When on the correct record, go to extension, and Zotero, and a pop up will appear that you can use to download the work and it’s metadata to Zotero. 

  5. If an item will be added via a Zotero load as opposed as manually via a spreadsheet, record Zot on the Word document instead of SS. Note that some works in a set may be added via a Zotero load and other manually via a spreadsheet.

  6. If the info loaded into Zotero seems minimal, check that the title, authors and URL have been added to Zotero. If not, add them manually, or add the work using a regular spreadsheet that will be input manually.

    Add the following to research notes:

  7. If the file to be loaded isn’t from the publisher’s site, also indicate where to get the file from, eg. “get file from https://arxiv.org/abs/2311.08448” or “get file from Workast”.

  10. If the work is published, copy and paste the Zotero bibliography after the ###.

    Copy the citation using “copy bibliography”

  1. Change the format to journal articles.

  1. Put the citation into Journal Abbr and put the rights note or cc license names into the ISSN

  1. Add any necessary notes--repeating the notation on the Word doc is no longer required unless you need the info when falling in the spreadsheet (like link only)

  1. Delete any extra notes that Zotero created when adding the record

Export Your Set of Works from Zotero

  1. Go to file, and export Library.

  2. Select EndNoteXML.

  3. Check all the boxes.

  4. Click ok.

  5. Give the download directory a name that matches the set that you’re working on.

  6. Attach the zipped download directory to your check work task along with the Word doc and spreadsheet for works that have to be added manually.
