Searching guidelines

Search ALEPH
  • If held by MUB, give it to the e-resources/media librarian, who will run it past the media librarian for evaluation.
  • If held by another USMAI, add accession number, holdings and items.
Search OCLC if it's not in ALEPH
  • If a good match is found, import into ALEPH and add accession number, holdings and items.
  • If a match is found that needs editing (missing fields, errors, etc.), give it to Ping (along with a completed Bounce Form) for copy-cataloging.
  • If a questionable match is found, give it to the e-resources/media librarian.
  • If no match is found, give it to the e-resources/media librarian

Format

Verify that the record is for a CD.

300 1 sound disc : $b digital ; $c 4 3/4 in.

There may be additional information in this field, but these are the minimum requirements for a CD. Additionally there should be (though it's not always there):

500 Compact disc.

If the item in hand is an Enhanced CD (i.e. contains content accessible on a computer), verify that the record is for the enhanced version and vice versa. More information on enhanced CDs is available here.

Works

Classical music

Compare the composer(s) and titles on the item to the record. This information can be found in the 100, 240, 245, 505 and 700 author/title headings. Verify that all the works on the item are mentioned on the record somewhere.

  • If all the works were written by the same composer, s/he will be listed as the 100. If there are several works by different composers, one of the composers may be listed in the 100; otherwise, they will be listed in a 700.
  • 240 might contain the title of the first work.
  • All the works might be listed in the 245, if there is no "collective title."
  • The 505 might contain the titles (and occasionally the composers) of all the works. If all the titles contain the same word (like Symphony or Quartet), that word will be left out of the titles in the 505.
  • This information will look different and appear in different fields in RDA records; go to RDA Guidelines for more information.
Popular music

Veryify the artist and songs. If there are additional songs listed on the record (in the 505) that aren't listed on the item, or if there are additional songs listed on the item but not the record (and it's the only record available), give it to the e-resources/media librarian.

Performers and/or Conductors

Classical music

The performer(s) and conductor(s) will mainly appear in a 511 with added 700/710s. Occasionally, the performer will be listed in the 100/110, but they will not be listed in the 245 $c. Performers and conductors may also appear in the 505. RDA records will not always follow these guidelines; for RDA records, see RDA Guidelines.

Popular music

The performers will either be in the 100, 110, 245, 511, 505, 700 or 710. Occasionally, when there are many, many performers, the record will just use "Various performers" or "Various artists" in the 511. RDA records will not always follow these guidelines; for RDA records, see RDA Guidelines.

Use the information in DtSt and 260 $c to match the date. Additional explanation may be found in a 500 or 518. Dates in bracket may be inferred from the item in hand, or may be taken from a different source altogether. Be more flexible with dates in brackets, but use the rest of the record to confirm the match. Dates for music CDs can be very confusing; if you're unsure if it's a match, ask the e-resources/media cataloger.

Edition

Edition information may be found in the 250 or in 500 notes. Look for phrases like Special edition, Remastered edition or Reissue for matching.

Music number/Publisher number

This information is found in 028 and 500 fields. The music number on the item MUST match one music number on the record. If there are multiple numbers on the record or the item, there only needs to be one match. However, be careful with set numbers. Check the rest of the record to make sure it is for the single item and not for the entire set.

When to Give to Copy-Cataloger

Note: If it's an RDA record, follow the RDA Guidelines.

  • If there are spelling or transcription errors, or if you think that something is recorded wrong
  • If it's missing the 007
  • If it's an enhanced CD and it's missing the 006
  • If it's missing the 028 and there is a publisher number somewhere on the item
  • If there is no 245 $h [sound recording] (only in non-RDA records)
  • If there are titles on the item that do not appear in the 245 or 246
  • If any part of the 260 is missing ($a, $b or $c)
  • If any part of the 300 is missing ($a,$b,$c, or $e ONLY if there is a large booklet accompanying the CD)
  • If there is no 500 Compact disc note
  • If there is no 511
  • If there is no 505 and all the titles aren't in the 245.
  • If there is no 650
  • If there are no 700 or 710 fields for composer/works or performers/soloists/conductors listed in the record not listed in the 100/110/240; BUT individual members of bands or musical groups do not need separate headings. If this is the ONLY problem with the record, give the item and the bounce form to the e-resources/media cataloger.
