Aleph Circulation Procedures - Patrons with Multiple Affiliations

Some patrons are affiliated with more than one USMAI institution.  For example, a person who is a graduate student at UMBC, can also be a staff member at Morgan.

In such cases, the patron may have ONE home library which controls their circulation privileges, but can have database access at both libraries.  Usually, our patron loader will create these patron’s records.

If you do need to give a UMBC patron access to our databases, but they are already registered at another institution with higher level Circ privileges, follow the procedures below. Only current students, faculty, and staff will have access to the databases. Do not use this procedure for alumni and special borrowers.

  1. Make sure they are currently affiliated with UMBC - check the roster or have them bring up their MyUMBC page

  2. Click on the Patron tab and scan the patron’s barcode.  Go to Patron Registration in the Navigation pane and click on Local Information

  3. Scroll to the very bottom of the Local Paton Information screen until you find a line that says “BC-  UMBC – Patrons for DB access”.  Click to highlight the line and follow these steps:

    1. Choose patron status based on the information on the UMBC ID.

    2. Click “Get Defaults”.

    3. Click the “Update”.

  4. The final step is to add the patron’s UMBC barcode as an “Additional Barcode” to their ID list.  Go to Patron Registration in the Navigation pane and choose Additional IDs.  Follow these steps EXACTLY:

    1. Click the “Add ID” button

    2. For “Key Type” choose “03 – Additional Barcode”

    3. For “Verification Type” choose “00 – Normal”

    4. For “Status” choose “AC – Active”

    5. For “Key Data” click in the field and scan in the UMBC barcode (21429…)

    6. For “Verification” type in the patron’s last name exactly as it appears on the Global Patron Information page for Barcode Verification.

    7. Click “Save ID”

  5. The patron should now have access to both UMBC and Morgan’s databases.  The patron can use the UMBC barcode to remotely access our databases.  The patron can use either barcode to borrow books. The patron will get the borrowing privileges based on his “home” library status.
