Blackboard Grade Export to PeopleSoft
Instructors may export final grades from Blackboard and then review and approve them in PeopleSoft. Grade Export may be used with individual courses and courses that are merged in Blackboard as long as the merged sections are graded sections.
Access to this tool is restricted to approved instructors in Blackboard as part of a Grade Export pilot. Teaching Assistants and Graders do not have tool access. Instructors interested in piloting the Grade Export tool may submit an RT ticket to request more information.
Blackboard Gradebook Setup
To prepare your Blackboard course for the Export, the Blackboard Gradebook must be configured first.
Set up the Overall Grade column in your Blackboard Gradebook.
Choose between a points-based, weighted, or custom calculation.
Does another Gradebook column in Blackboard already reflect the final grade (as a percentage, points, or letter grade)? Select a “weighted” Overall Grade calculation and set the desired column to 100% of the final grade.
NOTE Set the Overall Grade to display the grade as “Letter Grade.” If needed, update the course’s Grading Schema.
Confirm Grades are Posted in Blackboard
Grade and post all grades for assessments included in the Overall Grade.
Check the Gradebook Overview tab to identify any assessments in a “Needs Grading” or “Needs Posting” status.
NOTE The instructor view of the Overall Grade calculation includes both posted and unposted grades, while the student view and exported Overall Grade calculation includes posted grades only. If an assessment is graded, but not posted to the Gradebook, the exported final grade may be inaccurate. Incorrect final grades posted to PeopleSoft using the export process may require that you submit a grade change request for each student in your course. If the Overall Grade is pointing to a single Gradebook column, the grades in that column must be posted for grades to export.
Note Grade Exceptions (Save for Step 3)
Identify and make note of any students for whom the Final Grade will be an Incomplete or a grade other than the one displayed in Blackboard. Once you export grades to PeopleSoft, these grades will need to be updated manually before approving grades.
Students who have selected an S/U grading method will have numeric grades in Blackboard converted automatically to S/U grades upon export to PeopleSoft.

Grade Export Tool
Once you have reviewed and confirmed the accuracy of the Overall Grade column in Blackboard, you’re ready to export grades.

Select the View Course & Institution Tools link in the course’s Books & Tools menu.
Select Grade Approval and Transfer v2 from the tool list.
Once the Grade Approval Tool launches, select the box next to the course name.
Select Extract Grades.
A confirmation message will pop-up. Select Extract Grades to confirm.
NOTE: This step may take several minutes, especially for high enrollment courses. Please do not refresh or leave the page. A spinning circle may appear while the export is processing.
Spinning circle displays on the Grade Export page while the export processes.
A green banner will appear in the Grade Approval Tool menu stating “Grade(s) extracted successfully.”
Once the Extract is complete, you will automatically be returned to the Grade Approval page. The Approval Status for the course should say Extracted.
The Approval Status column should state “Extracted.”An email confirming the Grade Extract’s status will be sent to your Inbox.
Samiple email: “A Grade Export of COURSEID was completed on DATE. Export status: FILESTATUS. You will receive a separate email when your grades are ready to review and approve in PeopleSoft. Submit an RT request for assistance. Thank you.”
Close the Grade Approval Tool window.
ACTION REQUIRED Proceed to Step 3 (below).The Export tool does not submit grades to the Registrar's Office. Instructors must complete the next step, PeopleSoft Grade Review and Approval, to post grades. Failure to do so may require that you submit a grade change request for each student in your course.
PeopleSoft Grade Review and Approval
Once you have extracted grades from Blackboard using the Grade Export tool, the next step is to wait for an email stating that your grades are ready for review and approval in PeopleSoft.
The email notification from PeopleSoft may take 1-2 hours from the time that grades are extracted in Blackboard.
Sample email: “New Blackboard grades have been processed in PeopleSoft. Use the link(s) below to review the Import Results and approve your PeopleSoft Grade Roster(s).”
A table will display below the message. “Errors” will be listed in the summary for any grades that are not applied. Errors are typically flagged for students with “W” grades.
Reminders
Adjust any grades to Incomplete other grades, as appropriate.
S/U Grades will be applied automatically if students have selected this grading method.
Approve and submit Final grades in PeopleSoft using the existing approval process.
Before grades are set to “Approved” in PeopleSoft, they may be extracted from Blackboard again, if corrections are needed.
If imported grades are incorrect in PeopleSoft, please make corrections before changing the grade Approval Status to Approved. If there is an error in the final grade entry and grades were set to an Approved status, please contact the Registrar’s Office on the same business day that grades were posted for support.
Common Questions or Issues
I exported my grades, but haven’t received the email confirmation from PeopleSoft (the 2nd email).
Grades may take up to two hours for processing.
The export says it was successful, but no grades appear in PeopleSoft
Check that you have received both confirmation emails (one from Blackboard and one from PeopleSoft with the grade report)
If the Overall Grade was set to equal the value of a single Gradebook column, confirm that the grades in the source column are posted in Blackboard.
I exported my grades twice before the first export was processed in PeopleSoft and no grades posted after both exports were processed.
If both exports have processed, extract the grades again. Wait to receive both confirmation emails before pushing a new extract.
The letter grades in the Overall Grade column do not match the letter grades in PeopleSoft.
Confirm that all graded items factored into the Overall Grade calculation are posted in Blackboard.
Some students' grades are blank in PeopleSoft, but others have imported as expected.
Confirm the grading method for those students. In some cases, S/U grades may not import automatically and will need to be entered manually in PeopleSoft.
Merged Courses and Grade Export
Combined / Cross-Listed Courses
When exported, courses that are combined and/or cross-listed will export correctly to the PeopleSoft course matching the students' enrollment as long as graded course sections are combined.
Courses with Multiple Components (e.g. multiple lectures with multiple labs)
The course shells included in the Blackboard merge should match the sections in PeopleSoft where final grades will be entered. Ungraded sections in Blackboard merges will not match to a graded PeopleSoft course section.
A merged course containing multiple graded lecture sections may use the export tool.
A merged course containing multiple ungraded discussion sections may not use the export tool.
When exported, courses with multiple components will export to the PeopleSoft course matching the enrollment of the sections used in the merge.
