Most of these are older records and, therefore, follow different cataloging standards. There are also many records for the same title, of varying quality. I've suggested searching strategies to minimize the number of hits. Because this will still pull up multiple results, the record with the most holdings is the best record to start with. In general, accept the cataloging as it is; if you have any questions, ask the Media Cataloger. If there is no usable record for a particular LP, give it to the Media Cataloger before assigning it an accession number.

  1. Search ALEPH by publisher number with no spaces or dashes. (note: most of these will not be in ALEPH)
  2. Search OCLC by publisher number with no spaces or dashes.
    1. Limit to Sound Recordings
    2. Sort by date
    3. Start with the record with the most holdings
  3. Match/Select
    1. 245 Match title to disc label unless otherwise noted in the record.
    2. 007
If the only usable record is missing this field, give it to the Media cataloger.

      $assound recording
      $bdsound disc
      $db33 1/3 RPM
      $eu
      $fm
      $ge12 in.
      $hn
      $in
      $jm
      $kp
      $ll
      $ne

(Note: You only need to worry about subfields a,b,d, and g; those affect limiting in ALEPH.)

    3. 028 Verify
    4. 100 Just verify that it's somewhere on the item.
    5. 300 Must include $a 1 audio disc : $b 33 1/3 rpm ; $c 12 in. ($a can be "sound disc" instead of "audio disc" ; $b might also include analog, mono, or stereo)
    6. 260 $a was not required when most of these were cataloged, so that doesn't affect the match.
    7. 505 Not necessary, but if you're deciding between two good records, pick the one with this field.
  4. Export to ALEPH:
    1. This will create a new record, so search by OCLC number to pull up the bib record.
    2. Add XPT $a Y $ MUB (Alt-X macro)
    3. Create new item:
      • BC-BC
      • MSTCK
      • PHONO
      • Item status 08
      • Barcode (put on the plastic sleeve)
      • Create new HOL
        1. OWN $a BCHOL (Alt-O macro)
        2. 852 8_ $b BC-BC $c MSTCK $h UMLP####
  • No labels
