  • These instructions are for UMBC email accounts created or migrated in Gmail.
  • Make sure IMAP is enabled in your UMBC Gmail account. How do I enable IMAP for Gmail?
  • If you have not changed your password since migrating to Gmail, you will need to change your password in myUMBC.
  • Google may block sign-in attempts from some apps or devices, including Outlook, that does not use modern security standards. As such Google recommends that you update to an app that uses the most up to date security measures. If you wish to continue using Outlook despite Google's recommendation, you will need to follow Google's instructions for allowing less secure apps.

  1. Open Microsoft Outlook.
  2. Click File, then Add Account.
  3. Click the radio button to the left of Manually configure server settings or additional server types.
  4. Click Next.
  5. Click the radio button to the left of Internet E-mail.
  6. Click Next.
  7. A window entitle Add New E-mail Account will open.
    Under the User Information header:
    1. Enter your full name in the Your Name field.
    2. Enter your UMBC email address in the E-mail Address field.
  8. Under the Server Information header:Select IMAP from the Account Type drop-down menu.Enter your UMBC email address in the email address field.
  9. Click Advanced Options.
  10. Ensure "Let me set up my account manually" is checked.
    1. If you cannot see this screen and instead see the Microsoft Outlook homepage:
      1. Go to File > Info > Add Account 
    2. If you have already signed into an Outlook account and want to sign out:  
      1. Follow the steps listed here
  11. Choose IMAP as the account type. 
  12. Enter imap.gmail.com in the Incoming mail server field.
    1. Enter smtp.gmail.com in the Outgoing mail server (SMTP) field.
    2. Under the Logon Information header:
      1. Enter your UMBC email address in the User Name field, must include the entire email address johndoe@umbc.edu
      2. Enter your UMBC password in the Password field.
      3. Make sure to check the Remember Password check box.
  13. Click More Settings.
  14. In the Internet E-mail Settings window that opens, click on the Outgoing Server tab.
    1. Check the My outgoing server (SMTP) requires authentication check box.
    2. Click Use same settings as my incoming mail server.
  15. In the same Internet E-mail Settings window, click on the Advanced tab.
    1. For the Incoming server (IMAP), select SSL from the Use the following type of encrypted connection drop down menu.
    2. Make sure the text field next to Incoming server (IMAP) is set to 993
    3. For the Outgoing server (SMTP), select TLS from the Use the following type of encrypted connection drop down menu.
    4. Make sure the text field next to Outgoing server (SMTP) is set to 587.
    5. Click OK on the Internet E-mail Settings window.
  16. Click Next on the Add New E-mail Account window.
  17. Click Finish on the Add New E-mail Account.
    1. 993 as the port. 
    2. Choose SSL/TLS as the encryption method. 
    3. Check "Require logon using Secure Password Authentication (SPA)."
  18. Enter smtp.gmail.com in the Outgoing mail server field.
    1. Enter 587 as the port. 
    2. Choose STARTTLS as the encryption method. 
    3. Check "Require logon using Secure Password Authentication (SPA)."
  19. Enter your UMBC password.
  20. Click OK.
  21. Outlook is now configured to send and receive your UMBC E-mail from on and off campusemail.
