    • 100 Just verify that it's somewhere on the item.
    • 300 Must include $a 1 audio disc : $b 33 1/3 rpm ; $c 12 in. ($a can be "sound disc" instead of "audio disc" ; $b might also include analog, mono, or stereo)
    • 260 $a was not required when most of these were cataloged, so that doesn't affect the match.
    • 505 Not necessary, but if you're deciding between two good records, pick the one with this field.
  4. If the LP is going into Special Collections, you must check the call number field(s) 
    1. 050, 090 – Library of Congress type call number
      1. There must be an 050 or 090 field, you can use either.
      2. There can be both an 050 and 090 field, but they must be the same.
      3. There cannot be an 055, 092 or 096.
      4. A number without a year is okay.  If there is a year, it must match the year in the 008.
    2. If the 050 or 090 you use has the following problems, kick it out.
      1. Call number is incomplete (e.g. only $a)
      2. There are two $a in 050
      3. Series call number (includes vol. or no. info) 
      4. Call number is Z5000 or higher
      5. Call number is PZ1-PZ4
    3. If you find a usable call number in the bib record, proceed to next step
  5. Export to ALEPH:             
    1. This will create a new record, so search by OCLC number to pull up the bib record.
    2. Add XPT $a Y $ MUB (Alt-X macro) to the bibliographic record
    3. Save to server
  6. Create a new item and holding record –there are instructions below for item and holding work for LPs going into Media Stacks and for LPs going into Special Collections. Use the appropriate instructions depending on collection. 
    1. Media Stacks LPs:

      1. Create new item

      2. Set the following values in the item

        If a volume number is needed, enter the caption and enumeration (ex:"v.1") into the Description box, enter the number only (ex:"1") into the Enum. Level.1 box. 

      3. Scan Barcode into the Barcode field           
      4. Place Barcode on upper right corner of the cardboard sleeve          
      5. Assign accession number: I:\BMS\Accession Lists\UMLP.xlsx
      6. Put accession number label over old call number label on left upper corner of cardboard sleeve
      7. Create new HOL
        1. OWN $a BCHOL (Alt-O macro)
        2. 852 8_ $b BC-BC $c MSTCK $h UMLP#### (place accession number here)
    2. Special Collections LPs:
      1. Print out the first page of the bibliographic record

      2. Create a new item
      3. Set the following values in the item  

        Field Value
        Sublibrary BC-BC
        Collection(choose from list below)
        Material Type PHONO
        Item Status03  (Non-circulating)

        If a volume number is needed, enter the caption and enumeration (ex:"v.1") into the Description box, enter the number only (ex:"1") into the Enum. Level.1 box. 

      4. Scan the Barcode into Barcode field
      5. Place the Barcode on a small piece of backing paper, attach to printout of the bibliographic record with a paperclip
      6. Create a new HOL
        1. Add OWN field $a BCHOL (Alt-O macro)
        2. Check the 852 field for the following:

          FieldValue
          Indicators0_
          $bBC-BC
          $c (collection code)
          $h(first part of call number)
          $i(cutter and year)


        3. Save to server

      7. Highlight the Call Number on the bib record printout
      8. Highlight the name of the author, performer, etc. in the 100 or 110 field if there is one
      9. Highlight the $a of the 245 field
      10. Write name of collection at top of printout
      11. Date and initial at top of the printout
      12. Place appropriate collection flag with the LP and put LP on Special Collections truck
      13. Place printout with barcode clipped to it in the basket by the label printer
